Good decisions depend on good information. But every report a club relies on begins much further upstream, with the individual transactions that feed it. Inventory counts. Receiving. Transfers. Recipes. Units of measure. Item costs. When those details are inconsistent or incomplete, even the most sophisticated reporting system can produce numbers that look precise without actually being accurate. At Southern Hills Country Club, Purchasing Manager Sherri Scott saw what happened when stronger processes and technology came together: “The combination of operational expertise and technology helped us identify opportunities we simply couldn’t see before. The result was better visibility, stronger controls, and measurable savings.” FOOD-TRAK explores how clubs can build better operational disciplines, strengthen accountability and turn trusted information into better financial decisions. Artificial intelligence may already be in use at your club, whether the board has formally approved it or not. Employees are using AI to draft communications, summarize documents, conduct research and streamline routine work. At the same time, AI functionality is increasingly being built into software clubs already use. That creates a governance question boards can no longer afford to treat as theoretical. What tools are staff using? What information is being entered into them? Which decisions are being influenced by AI? And who remains accountable when AI plays a role? Governance expert Roger Chao MBA, FAICD, FGIA, examines how clubs can approach AI with practical oversight, including tool inventories, clear policies, employee training, vendor due diligence and human accountability. The goal is not to prohibit useful technology. It's to understand where it's being used and establish appropriate guardrails around it. Traditions are part of what makes private clubs special. But what happens when a longstanding tradition no longer reflects how members actually use the club? Ed Shanaphy explores the delicate balance between preserving tradition and allowing club practices to evolve as demographics, programming needs and member expectations change. Using examples from racquets, golf and junior programming, Shanaphy makes the case that good stewardship is not about abandoning tradition. It is about understanding its purpose and knowing when the practice surrounding it needs to change. Sometimes, yesterday’s solution can quietly become tomorrow’s problem.
