Executive Assistant
We are seeking an exceptional Executive Assistant to serve as a strategic and administrative partner to a senior executive. This is a high-impact role for someone who is proactive, detail-oriented, and thrives in a fast-paced, high-pressure environment. The ideal candidate is not just reactive, but anticipatory—someone who takes ownership, makes sound decisions, and actively enhances executive effectiveness. This role requires a high-energy professional with strong business acumen and experience supporting senior leaders in demanding environments such as finance, technology, consulting, or executive management.

- Onsite (4–5 days/week)
- $52–$56/hour
- Full-time | 9:00–5:30 PM or 9:30–6:00 PM
Time & Calendar Management
- Manage complex and dynamic calendars across multiple time zones
- Coordinate in-person, virtual, and hybrid meetings with precision
- Act as a gatekeeper, prioritizing competing demands to optimize executive time
- Anticipate scheduling conflicts and proactively resolve issues
- Serve as a key liaison between the executive and internal/external stakeholders
- Streamline workflows, manage priorities, and ensure timely follow-ups
- Prepare and manage high-level correspondence, reports, and documentation
- Coordinate detailed domestic and international travel (flights, hotels, ground transportation, visas)
- Create comprehensive itineraries with contingency planning
- Liaise with client sites to coordinate meeting logistics, A/V, and materials
- Prepare presentations, decks, and printed materials as needed
- Handle confidential and sensitive information with discretion
- Draft emails, presentations, and meeting notes on behalf of the executive
- Capture key takeaways from meetings and ensure action items are executed
- Assist with research, special projects, and business initiatives
- Align executive priorities with broader business objectives
- Act as an extension of the executive in managing day-to-day operations

- Ability to stay ahead of needs and anticipate challenges before they arise
- Strong problem-solving skills with a solutions-oriented mindset
- Expertise in managing complex calendars, travel, and competing priorities
- Strong follow-up and tracking skills to ensure nothing falls through the cracks
- Sound judgment to make decisions on behalf of the executive when appropriate
- Confidence to manage priorities independently and push back when needed
- Proven ability to handle sensitive information with professionalism and integrity
- Comfortable working under pressure in a fast-paced environment
- Flexible and responsive to last-minute changes and urgent requests
- Strong interpersonal and communication skills
- Ability to build relationships and manage stakeholders effectively
- Proficient in tools such as Microsoft Office (Excel, Outlook), Slack, and other productivity platforms
- Quick to learn and implement new systems and tools
- Polished, composed, and confident in high-level interactions
- Able to represent the executive and organization with professionalism
- High level of stamina and ability to maintain performance in a demanding environment
