We may collect or receive the following Personal Data about you:

- Identity documents, signature, title, position, function, company information, photograph, experience, and education background.
- Attendance and where applicable CCTV footage when entering our premises.

- Electronic identification data including login, password, IP address and other online identifiers, and information if you access our systems and networks.
- Contract, invoice & bank account information.
- Procurement and financial documentation including purchase orders, invoices, and supplier reference data
- Data generated through your interactions with our AI-assisted business platforms including communications history and relationship management data
- Where applicable information the results of background checks which may contain prior criminal prosecutions and/or convictions. Where such checks involve criminal offence data, we conduct them only where and to the extent permitted by the law of your country, and where possible on the basis of documentation you provide.
When and how might we collect your Personal Data
We will only process Personal Data strictly necessary for the purposes defined above. If you do not provide such information, we may not be able to fulfil our contractual or regulatory obligations.
We may collect your Personal Data when:
- If you visit our locations, we will collect Personal Data as part of visitor registration and where applicable online NDA process and CCTV security and safety system.
- You are directly appointed by us to provide products and services or when you participate in our procurement process, or when the company you work for is appointed by us and you have a work assignment with us in this context.
- You communicate with us by email, Microsoft Teams, or other electronic means in the course of our business relationship.
- We communicate with you in online meetings, call recordings and transcripts may be processed as a record of our conversations. Calls and online meetings are recorded only where you agree at the start of the call; if you do not agree, the recording does not take place.
- You submit invoices, purchase orders, or other procurement documentation, which may be processed using AI-assisted document processing tools prior to entry into our financial management systems.
- You interact with our AI-assisted business platforms in the course of managing our relationship with you.
- As part of procurement operations, and to comply with our obligations in terms of anti-corruption, we may also have to consult public registers to verify that your company or its legal representatives are not subject to prosecution or of criminal convictions.
How long will we retain your Personal Data?
Our general approach is to retain your Personal Data only for as long as it is needed for the purposes described in this Notice, and in line with our Data Retention Policy. Retention periods vary depending on the nature of the relationship and the type of Personal Data held. As a general guide:
- Contract and financial records are retained for the duration of the relationship and for a period thereafter in line with applicable legal, tax, and accounting requirements.
- Correspondence and communications data is retained for the duration of the relationship and a reasonable period thereafter.
- Background check results are retained only for as long as necessary to complete the relevant procurement or onboarding process.
- Data processed through AI-assisted tools, including invoice processing records and interaction logs, is retained in line with the purposes for which it was collected and deleted or anonymised once those purposes are fulfilled.

How do we protect your Personal Data?
